Lead qualification is the slowest part of many sales processes: someone fills in a form, a person reads it hours later, replies with questions, and waits again. An AI assistant can do the first round instantly, at any hour, and pass your team a lead that is already understood. Done badly, it feels like a form with a personality. Done well, it feels like a helpful first conversation.

The four things to find out

  1. Need: what problem they want solved or which service they're interested in.
  2. Timing: whether they want to start now, soon or are just researching.
  3. Scale or budget: a rough range, asked respectfully, or the size of the project.
  4. Contact: the best way and time to reach them.

Those four answers are usually enough to decide where the lead goes and what happens next.

Questions that work

  • "What would you like help with?" (open, then offer common options as buttons).
  • "When are you hoping to get started?"
  • "Roughly what size is the project, or do you have a budget range in mind?"
  • "What's the best email or number to reach you on?"
  • "Would you like to book a call now?"

Questions to avoid

  • Long forms disguised as chat: more than a handful of questions loses people.
  • Asking for information you could look up, such as their website's technology.
  • Pressuring for budget before understanding the need.
  • Collecting sensitive personal data the conversation doesn't require.

Route and respond automatically

  • Ready to buy now: offer a booking link and alert the right salesperson immediately.
  • Interested but not ready: send useful information and a follow-up later.
  • Not a fit: thank them and point them somewhere helpful.
  • Unclear or complex: hand over to a person with the conversation attached.

Be clear that it's an AI

People should know when they are talking to an AI system. Transparency is good practice and, under rules such as the EU AI Act, an obligation in some cases. A short line such as "I'm AgenCoder's AI assistant; I can answer questions and book a call with the team" sets expectations and builds trust.

Connect it to your CRM

Qualification only saves time if the answers land in the right place. Send each conversation to your CRM, such as GoHighLevel or HubSpot, with the answers in their own fields, the lead's source, and the next step. Then your team starts the first call already knowing the basics.

Measure what matters

  • How many conversations end with a booked call or a qualified lead.
  • How often people ask for a human, and why.
  • Whether qualified leads actually become customers, so you can refine the questions.

Only follow up by email or SMS with people who agreed to it, and make opting out easy. A fast reply is welcome; an unwanted sequence is not.
